QBOA for Accountants and Bookkeepers

Over the past few years, my business owner clients have increasingly moved off of QuickBooks Desktop (QBDT) and onto QuickBooks Online (QBO).

At first, about 5 years ago, this move could only be made by companies with the simplest of needs. QBO just wasn’t feature-rich enough. But fast forward to today…QBO has become robust. The only clients I can’t put on it are those who use Progress Invoicing, and a few complex manufacturing companies.

But when I talk to accountants and bookkeepers, some have nothing but vitriol towards the platform. I’ve generally found that the love/hate continuum correlates to the age of the professional. Some who have been using QuickBooks for decades dislike the new QBO system. Those new to the profession, or those who are experienced but pride themselves on being technically adept, love it and would never consider going back.

My conclusion, as a professional trainer, is that the frustration is usually nothing more than what we affectionately call “a training issue.”

When I ask bookkeepers what their complaints are, 90% of the issues aren’t actually real. 20% of those I’ve asked looked at QBO years ago before it evolved into its current form. They haven’t taken the time, or given it the benefit of the doubt. The other 70% mention “missing” features in QBO that really are there.

For me, the best part is what they don’t know that they don’t know. Because QBO is cloud-based, it opens the door to new automation procedures. There’s no way for a bookkeeper to know about QBO’s Banking Rules without being shown…and it’s WWWAAAYYYY more powerful than the QBDT tool. Banking Feed Rules allow them to automatically pull in routine transactions, eliminating business owner error and saving hours of time.

That’s nice and all, but the first step is still getting over that initial gut reaction. I realize that it can be hard to learn a new system. At Royalwise I like to joke “We teach old dogs new tricks, and new dogs old tricks.”
